Registration for Authors

Our conference policy requires that at least one of the authors for each contribution register for the conference before 15 July, and for regular and special session papers, we prefer registration before the Camera Ready submission, which is 23 of June. For all papers one full registration (in person or online) per paper, and one paper per registration are expected. In case of multiple papers from the same author, one 'add-on' paper will be registered against a fixed sum of 350 euros. Any more papers (so more than 2) would require another full registration.  If you are an author or co-author of a single contribution, your registration cannot be shared or used for uploading a paper for which you are not an author.  We expect as many papers as possible to be presented in person.

 

Each paper is limited to six pages in the standard IEEE Conference Paper Format based on the LaTeX template or Microsoft Word template. A maximum of two additional pages are permitted with 90 euro extra charge per page, as requested by the publisher. Any authors who have not registered by 15 th July 2025 or have papers exceeding the page limit (excluding accepted RA-L, TRO, and RAM papers) in the final submitted paper version will have their paper removed from the program and the proceedings.

Full registration includes submissions for up to one item from these categories: paper, late-breaking report, and robot design competition. Student registration includes one submission of a late-breaking report and, robot design competition. Persons who have a full or student registration can attend the workshops free of charge, but they have to register for the workshop they plan to attend.

Grants and Awards

IEEE Travel Awards

IEEE can provide 4 travel awards capped at $1500 per award.  To get an IEEE travel award, applicants should use this link: https://forms.gle/mnbSdZ3RU6PcR8W98. The application deadline is 01/07/2025 and they intend to provide notifications to authors by 07/07/2025. This amount may be spent on the hotel, transportation, or the registration fee itself. 

Conference Student Travel Grant

The RO-MAN 2025 conference is committed to supporting students in our community and increasing diversity within the field of Social Robotics and Human-Robot Interaction (HRI). All undergraduate students, graduate students, and postdoctoral researchers who have an accepted paper at RO-MAN 2025 are welcome to apply for this grant.

Studying or working in one of the countries listed in Category H or Category I (see below) is the primary eligibility requirement to receive this travel grant. Among the students who meet this criterion, priority will be given to members of underrepresented groups, including but not limited to racial/ethnic minorities, LGBTQ+ individuals, first-generation students, students with disabilities, and students who have experienced financial hardship.

*Applications will be reviewed on a rolling basis until the budget is exhausted or until June 30, 2025, whichever comes first.
